Priya's Thursday, two ways

8 lessons · 28 prompts

A day in the life of a Program Manager: what changes with these prompts.

Track progress as a member

Priya, a program manager at a regional health insurer.

Priya runs a claims system rollout across four teams. On Monday she has a charter three people read differently, a vendor who slipped the data migration by a week, and a steering committee meeting on Thursday she has not prepared for. She opens ChatGPT and pastes her rough charter notes, asking for a plain scope statement, three success criteria, and the assumptions underneath. Two of those assumptions surprise her, and she adds them to the agenda.

For the vendor slip she uses the risk lesson. She pastes the vendor's email, minus names and contract numbers, and asks for a risk entry with a mitigation and a short escalation note for her sponsor. Then she uses the milestone prompts to redraw the next six weeks, marking which tasks now depend on the delayed migration.

Thursday morning she drafts the steering update with the stakeholder prompts. She asks for two versions, one for the committee and one for the team leads, and tells the AI to keep the tone plain and lead with the decision she needs. On the call itself she uses the coordination prompts to build the agenda and a decision log. The meeting ends early with three decisions written down.

Friday, the progress report that usually takes her most of the afternoon comes together in about twenty minutes. She checks every number against her tracker, rewrites the opening paragraph herself, and sends it. She leaves at four, picks up her daughter from practice, and reaches the grocery store before the after-work rush.

  • Risks surface late, in meetings
  • Charter read three different ways

After this course

  • First drafts ready in minutes
  • Risks logged the week they appear
  • Steering calls end on decisions
  • Fridays back for real planning

What you'll learn

  • Shape the scope: Draft a charter with clear success criteria and the assumptions hiding underneath.
  • Plan milestones: Turn scope into a timeline with dependencies you can explain to a sponsor.
  • Write updates: Prepare stakeholder messages for good news and for hard news.
  • Run better meetings: Set agendas, capture decisions, and clear blockers across teams.
  • Manage risk: Build a risk register with mitigations and a short escalation note.
  • Explain the budget: Turn variance numbers into a plain explanation and a clear request.
  • Report progress: Convert tracker data into status reports and executive summaries.
  • Steer a slipping program: Troubleshoot delays, draft a recovery plan, and test your assumptions.
