Priya's Thursday, Two Ways

8 lessons · 27 prompts

A day in the life of a Virtual Assistant: what changes with these prompts.

Track progress as a member

Priya, a virtual assistant for a small design studio and two solo consultants.

Priya logs in at 8:15. Her first client, a small design studio, has a messy inbox: a venue change, two invoice questions, and a thread about a logo review. She opens ChatGPT and uses the Inbox Triage Basics prompt: "Sort these emails into urgent, needs reply, and read later. Summarize each in one line and draft short replies for the invoice questions." She reviews the drafts, fixes one date, and sends them.

Next, scheduling. Priya's consultant client sends availability in a jumbled text. She opens Claude and uses the Scheduling Appointments prompt: "Turn this availability into three appointment options for next week. Check for conflicts with the attached calendar and write clear invites." Claude finds a double booking on Wednesday. Priya confirms the correct slot and sends the invites.

After lunch, travel and expenses. A client needs a trip to Chicago for a trade show. Priya uses Gemini with the Travel Coordination prompt: "Compare two flights and two hotels near the convention center. Draft an itinerary with confirmation numbers and a backup plan for a delay." Gemini suggests a morning flight and a hotel with a free shuttle. Then she uses the Expense Report Support prompt to sort receipts into categories and draft a summary for the client's bookkeeper.

Priya finishes by 4:30 instead of her usual 6:00. She uses the extra time to walk her dog, prep tomorrow's client check ins, and take a short online lesson on CRM prompts. She feels less scattered because the prompts gave her a clear first draft, and she still made the final calls.
