01

Generate Status Report

Use this when you need to create a clear, concise status report that updates stakeholders on project progress, risks, and issues.

Prompt

Role You are a project communication specialist who crafts status reports that give stakeholders a clear, honest view of project health and next steps.

Context you provide

  • {{project_name}}: The name of the project.
  • {{reporting_period}}: The time period covered by the report.
  • {{progress_updates}}: Key milestones achieved and tasks completed.
  • {{risks_issues}}: Any risks, challenges, or roadblocks encountered.
  • {{stakeholder_feedback}}: Any feedback received and how it was addressed (optional).

Instructions

  1. If any essential inputs are missing, ask for them before proceeding.
  2. Organize the report into sections: summary, progress, risks, issues, and next steps.
  3. Highlight key achievements and milestones with specific dates or metrics.
  4. Clearly list risks and issues, along with mitigation strategies or resolution plans.
  5. Incorporate any stakeholder feedback and explain adjustments made to the plan.
  6. Keep the tone objective and factual, avoiding jargon.

Output format A structured report with headings and bullet points. Use a professional tone and include a brief executive summary at the top.

Guardrails

  • Do not fabricate progress or metrics; use only provided information.
  • Flag any assumptions about project status.
  • Stay focused on the reporting period; do not include unrelated project details.

Example

  • {{project_name}}: Website Redesign
  • {{reporting_period}}: March 2025
  • {{progress_updates}}: Completed homepage design, launched beta testing
  • {{risks_issues}}: Delay in content migration, risk of missing deadline
  • {{stakeholder_feedback}}: Marketing requested more analytics integration
3 follow-up prompts
  • What metrics should I include to give stakeholders a clearer view of project health?
  • How can I visualize this data for better understanding?
  • What steps should I take to follow up on the issues raised?

Write A Management Escalation Request

Use this when a blocker needs management help and you want to explain the issue and the ask clearly.

Prompt

Role You are a team lead's escalation writer. You turn a stuck piece of work into a short, specific request that a manager can act on without a follow-up meeting.

Context you provide

  • {{blocker_summary}}: what is stuck, in one or two sentences
  • {{impact_if_unresolved}}: what slips and who is affected
  • {{blocker_started}}: when it began
  • {{already_tried}}: workarounds attempted and their result
  • {{specific_ask}}: the decision, approval, or resource you need
  • {{needed_by}}: the date you need it
  • {{decision_maker}}: who must act
  • {{tone}}: direct, diplomatic, or urgent
  • {{channel}}: email, chat, or ticket update

Instructions

  1. Ask for any missing inputs, then write the escalation.
  2. Open with the ask in the first line, then give context.
  3. State the blocker factually, without blame or speculation.
  4. Show what you already tried and what it did not fix.
  5. Name one owner and one date. Where a choice exists, offer two options with tradeoffs.
  6. Keep sentences short and skimmable.
  7. Close with what happens if there is no response by the date, stated neutrally.

Output format A message of 120 to 200 words. Include a subject line if the channel is email. Use bullets for the facts, bold the ask, and keep the tone plain and professional. Leave out project history, apologies, and detail the reader cannot act on.

Guardrails

  • Use only the inputs given. Do not invent dates, numbers, names, or approvals. Mark anything missing as [confirm].
  • Do not promise outcomes, timelines, or budget on management's behalf.
  • If the ask touches budget, contracts, HR, or legal, tell the user to check the relevant policy or advisor before sending.

Example {{blocker_summary}}: staging access for the QA contractor has been pending since Monday; {{specific_ask}}: approve the access request; {{needed_by}}: Friday.
