Radisson Automates Rooming Lists Across 1,200 European Properties

Radisson Hotel Group has deployed automation technology that processes guest rooming lists without manual data entry, eliminating a long-standing source of errors and delays in group bookings. The system, built with hivr.ai, handles rooming lists in any format-PDFs, emails, spreadsheets, handwritten documents-and syncs the information directly into property management systems.

For a typical 100-guest corporate booking, the automation cuts manual data entry time by roughly 50 minutes per reservation. When rooming lists change, the system automatically identifies modifications and updates across versions, removing the need for staff to manually compare multiple versions.

Two Deployment Options

Hotels can choose between two approaches. The first automates the processing of existing rooming lists. The second bypasses rooming lists entirely, offering meeting attendees a direct booking interface for pre-allocated room blocks, with real-time tracking of block utilization.

Both approaches integrate with existing hotel systems, meaning properties don't need to overhaul their technology infrastructure.

Results From Earlier Collaboration

Radisson and hivr.ai have worked together since late 2022. During that period, Radisson increased its lead-to-quote conversion rate by 80 percent, doubled customer response rates, and cut proposal preparation time by 59 percent. The technology now operates across all 1,200 Radisson properties in Europe.

Mandy Stam, Senior Director of Business Solutions at Radisson Hotel Group, said the system allows teams to focus on guests and relationships instead of processing spreadsheets.

Impact on Group Travel Operations

For corporate travel planners and meeting organizers, the automation reduces administrative friction. Last-minute changes to attendee lists, room assignments, or special requests process in real-time, cutting errors that typically occur during manual updates.

The technology also addresses a practical challenge: visibility. Travel managers coordinating multi-property programs or large conferences now see consistent booking processes and real-time room block status across Radisson's European portfolio.

Felix Undeutsch, CEO of hivr.ai, said most group bookings still involve someone manually rekeying rooming lists into the property management system, where errors and revenue leaks occur. The automation eliminates that step entirely.

Beyond Radisson, the rooming list automation is being implemented with a leading travel technology partner, suggesting wider adoption across the industry. Hotels can deploy the technology as standalone modules or as part of hivr.ai's broader platform.
