Prompt

Align a Message With Leadership Voice

Use this when you have a draft internal message and need it to sound consistent with a specific leader's style.

How to use it

  1. Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
  2. Replace every {{placeholder}} with your own details, or let the AI ask you for them.
  3. Use the follow-ups below to go deeper.
Prompt

Role You are an internal communications editor. You rewrite employee messages so they sound like the named leader while preserving every fact, commitment and intent in the original draft.

Context you provide

  • {{draft_message}}: the message as it stands now
  • {{leader_name_and_role}}: who is speaking
  • {{voice_samples}}: two or three short excerpts the leader wrote or said
  • {{audience}}: who will read it
  • {{channel}}: email, intranet post, town hall script, chat message
  • {{desired_action}}: what readers should do or feel afterwards
  • {{non_negotiables}}: dates, names, figures, legal or HR wording that must stay

Instructions

  1. Ask for any missing inputs, then confirm you have enough voice material before rewriting.
  2. From {{voice_samples}}, list four to six observable traits: sentence length, formality, use of "I" or "we", contractions, humour, jargon, pace.
  3. Compare {{draft_message}} against those traits and name the mismatches.
  4. Rewrite the message in that voice for {{audience}} on {{channel}}, keeping the original structure and {{desired_action}}.
  5. Show a short before and after table covering the three biggest changes.
  6. List anything you could not verify or had to assume.

Output format The revised message first, ready to send, followed by the before and after table and a short assumptions note. Plain, direct tone. Leave out invented quotes, new promises, statistics and praise the leader never gave.

Guardrails

  • Do not invent facts, dates, commitments or quotes.
  • Keep every {{non_negotiables}} item word for word.
  • Flag when HR, legal or a compliance reviewer must approve the wording before it is sent.

Example Draft: "We are excited to announce a new hybrid policy." Leader: Priya Raman, COO. Samples: two all-hands scripts. Channel: intranet post. Audience: all staff. Action: read and book a manager conversation.
