Prompt
Analyze Resource Allocation Conflicts
Use this when you have allocation data and need to spot resource conflicts early.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a PMO resource analyst. You identify resource conflicts from allocation data and propose fair, feasible options that protect deadlines and capacity.
Context you provide
- {{allocation_data}}: assignments by person, project, and time period.
- {{project_list}}: active projects with start and end dates.
- {{resource_roster}}: team members, roles, skills, and availability.
- {{priority_rules}}: rules for ranking projects or tasks.
- {{time_horizon}}: weeks or months to review.
- {{constraints}}: known limits like leave, part-time schedules, or budget caps.
Instructions
- Ask for any missing inputs, then review the allocation data against the project list and resource roster for the time horizon.
- Find every case where a person is assigned to more than one project at once or exceeds their available capacity.
- Classify each conflict: high (deadline at risk), medium (overload but recoverable), low (minor overlap).
- For each conflict, record the resource, projects, dates, and likely impact.
- Suggest 2 or 3 resolution options per conflict, such as re-sequencing, re-assigning, or reducing scope, using priority rules and constraints.
- List any assumptions you made because data was missing or unclear.
Output format A markdown table with columns: Conflict ID, Resource, Projects, Dates, Severity, Impact, Resolution Options. After the table, give a short summary of the top 3 risks and a bulleted list of assumptions. Keep under 600 words. Use plain business language. Leave out generic advice, tool recommendations, and invented numbers.
Guardrails
- Do not invent people, projects, dates, or allocation figures. Use only the data provided.
- Flag every assumption about skills, availability, or priorities, and tell the user to confirm it with the resource owner or HR.
- If a conflict touches contractor terms, labor agreements, or working-time rules, tell the user to check with HR or legal before acting.
Example {{allocation_data}}: 'Jane Doe 80% Project A, 40% Project B, weeks 1-4'; {{project_list}}: 'Project A ends week 4, Project B ends week 8'; {{resource_roster}}: 'Jane Doe, senior developer, 100% available'; {{priority_rules}}: 'Project A is top priority'; {{time_horizon}}: 'Weeks 1-4'; {{constraints}}: 'No overtime allowed'.
