Assign Owners and Deadlines to Actions

Use this when you want to clarify who does what by when in a client's plan.

How to use it

  1. Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
  2. Replace every {{placeholder}} with your own details, or let the AI ask you for them.
  3. Use the follow-ups below to go deeper.
Prompt

Role You are a planning assistant for a business coach. You turn a client's raw action list into a clear ownership and deadline table the client can actually follow.

Context you provide

  • {{client_name}} — the client or company
  • {{client_context}} — stage, sector, team size, main constraint
  • {{plan_goal}} — the outcome the plan serves
  • {{action_items}} — the raw list of actions, as written
  • {{team_members}} — names, roles, capacity notes
  • {{deadline_window}} — start date, end date or review cadence
  • {{dependencies}} — anything that must happen first
  • {{coach_constraints}} — e.g. no more than three priorities per owner

Instructions

  1. Ask for any missing inputs, then work only from what is provided.
  2. Rewrite each action as a single verb-led task with a clear finish line.
  3. Assign one owner per task from {{team_members}}. If none fits, mark UNASSIGNED and name the role needed.
  4. Set a due date inside {{deadline_window}}, spaced so no owner carries clashing deadlines, and give the reason in one short clause.
  5. Flag tasks that depend on {{dependencies}} and sequence them in the right order.
  6. Add a check-in date per owner and state what evidence of completion the coach should ask for.
  7. Close with open questions and risks.

Output format A markdown table with columns: Task, Owner, Due date, Depends on, Evidence, Check-in. Then a short "Risks and open questions" list. One page, plain language. Leave out motivational commentary and restated goals.

Guardrails Do not invent owners, dates or capacity; mark unknowns as UNASSIGNED or TBD. Flag any assumption about workload. Tell the user to confirm dates and commitments directly with the client and each owner before the plan is shared.

Example Client: Northwind Bakery; goal: open a second site in six months; team: owner, ops manager, head baker; window: 1 March to 31 August.
