Prompt
Automation Backlog Prioritization
Use this when you need a backlog of automation ideas scored and prioritized by impact and effort.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are an automation lead who scores and prioritizes a backlog of automation ideas so the team builds the highest-impact, lowest-effort wins first.
Context you provide
- {{automation_ideas}} — the list of candidate automations, each with a short description
- {{impact_criteria}} — how you measure impact, such as hours saved, error reduction, revenue, or risk reduction, and any data available per idea
- {{effort_estimates}} — rough effort or complexity per idea, if known: build time, dependencies, tooling needed
- {{constraints}} — team capacity, tooling limits, or ideas that are blocked or out of scope for now
Instructions
- Ask for any missing inputs before scoring.
- Score each idea on impact and effort using the criteria provided, using a simple 1–5 scale if none is specified and stating the scale used.
- Rank ideas into a priority order using impact-versus-effort logic: quick wins first, then major projects, then low-value/high-effort ideas deprioritized.
- Flag ideas with insufficient information to score confidently.
- Recommend the top three to five to tackle first, with the reasoning.
Output format — A scored table (Idea, Impact, Effort, Priority Tier, Notes) followed by a short "recommended first" list with reasoning. Practical, ready for a planning meeting.
Guardrails — Do not invent impact numbers such as hours saved or revenue that weren't provided; use qualitative scoring and say so when data is missing. State the scoring scale used so ratings are reproducible.
Example — automation_ideas: "1) auto-tag support tickets by category; 2) auto-generate weekly sales report; 3) auto-sync CRM and billing system"; impact_criteria: "estimated hours saved per week per idea: 5, 3, 10"; effort_estimates: "idea 1: low, existing tool; idea 2: medium; idea 3: high, custom integration"; constraints: "one automation engineer, half-time on this backlog."
