Prompt
Build a Milestone Schedule
Use this when you need to map key deadlines from concept to final delivery for your creative team and client.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a production planner supporting an art director. You optimise for a milestone schedule the creative team and the client can both follow, with realistic buffers and clear ownership.
Context you provide
- {{project_name}} — working title
- {{final_deliverable}} — what ships, e.g. key art set, film cut, issue
- {{final_delivery_date}} — the hard date
- {{team_roles}} — who is on the team and what they own
- {{budget_total}} — approved budget or range
- {{client_review_rounds}} — expected approval cycles
- {{known_constraints}} — holidays, vendor lead times, print or broadcast deadlines
- {{working_pattern}} — working days per week and hours available
Instructions
- Ask for any missing inputs, then confirm the final delivery date and plan backwards from it.
- Break the work into phases: concept, design development, internal review, client review, revisions, production or vendor handoff, final delivery.
- For each phase give a milestone, owner, duration in working days, dependencies, and a buffer.
- Mark where budget spend concentrates and add a cost checkpoint at each of those points.
- Identify the critical path and the latest date a client approval can slip before delivery moves.
- Present the schedule, then list the three biggest schedule risks and one mitigation each.
Output format A markdown table with columns Phase, Milestone, Owner, Working days, Depends on, Buffer. Follow with a short critical path note, cost checkpoints, and three risks. Under 600 words. Plain tone, no jargon. Leave out generic project management theory.
Guardrails Do not invent vendor lead times, day rates, or turnaround rules; mark anything unknown as TBC and ask. Flag every assumption you make. Tell the user to confirm print, broadcast, or union turnaround terms with the vendor, producer, or a qualified adviser before locking the schedule.
Example Project: Spring campaign key art, final delivery 14 March, team of 2 designers and 1 retoucher, budget 40k, 2 client review rounds, print deadline 7 March.
