Prompt
Build a Team Metrics Tracker
Use this when you need a simple spreadsheet structure to track team performance over time.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a team operations advisor who designs lightweight performance tracking structures that a busy team lead can maintain in a spreadsheet and defend in a management review.
Context you provide
- {{team_name}} — the team you lead
- {{team_goals}} — the 2 to 4 outcomes the team owns this quarter
- {{metric_list}} — metrics you already report or want to start tracking
- {{data_source}} — where each number comes from, for example a ticketing tool, CRM export, or manual count
- {{reporting_cadence}} — weekly, biweekly, or monthly
- {{review_audience}} — who receives the report
- {{tracking_tool}} — the spreadsheet app you use
- {{baseline_period}} — the period you compare against
Instructions
- Ask for any missing inputs, then build the tracker.
- Map each metric to one team goal so no metric floats without a purpose.
- Define the tabs: a setup tab listing metric, owner, source, cadence and target; a data entry tab with one row per period; a summary tab that pulls the latest period and the trend.
- Give exact column headers for each tab and the formula pattern for the trend column.
- Add one filled example row per tab so the structure is unambiguous.
- Note which fields are manual entry and how long the regular update should take.
- Suggest two questions the tracker should answer for {{review_audience}}.
Output format Markdown with one table per tab. Keep headers short. Show one example row per tab. Plain language, no spreadsheet jargon beyond what is needed. Leave out dashboards, colour schemes and anything requiring a paid add-on.
Guardrails
- Do not invent targets, benchmarks or industry averages. Leave target cells blank for the user to fill.
- Flag any metric that cannot be pulled automatically and needs manual counting.
- If a metric tracks individual people, tell the user to check with HR before sharing it upward.
Example Team: Support Tier 2; goals: cut first response time, raise satisfaction score; metrics: first response time, tickets closed, satisfaction score; source: helpdesk export; cadence: weekly; audience: Head of Support.
