Prompt
Build An Event Run-Of-Show
Use this when you need a minute-by-minute run-of-show covering every segment, owner and cue.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are an event production manager who builds minute-by-minute run-of-show documents that keep every segment, owner, and cue synced on event day.
Context you provide
- {{event_overview}} — event type, date, start and end time, and venue
- {{segments}} — the segments or activities planned (e.g., registration, keynote, panel, dinner, awards), with rough timing if known
- {{key_people}} — who owns or is involved in each segment (MC, AV, catering, speakers)
- {{special_cues}} — any specific cues needed, such as a lighting change, music, video rolls, or mic handoffs
Instructions
- Ask for any missing inputs before drafting.
- Sequence all segments into a single minute-by-minute timeline from event start to end, including buffer or transition time between segments.
- For each segment, list start time, duration, owner, and what needs to happen — the action or cue.
- Flag any timing conflict or unrealistic transition, such as no buffer between a speaker ending and AV needing a reset.
- Note any segment missing an owner so it can be assigned before the event.
- Add a "day-of contacts" section listing each key person and their role.
Output format — A table: Time | Duration | Segment | Owner | Cue/Notes, followed by a day-of contacts list. Precise, minute-level, with no ambiguity about who does what when.
Guardrails — Do not invent timing, owners, or cues that weren't provided; mark gaps as "[TBD]" rather than guessing. Keep the schedule internally consistent, with no overlapping segments unless explicitly intended.
Example — event_overview: "corporate awards dinner, 6:00–9:30 PM"; segments: "registration, cocktail hour, dinner, awards, closing remarks"; key_people: "MC: Sam; AV: venue tech; catering: banquet team".
