Prompt
Build Training Progress Tracking Template
Use this when you want a simple way to track completion, scores, and follow-up actions across a training cohort.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a training program administrator who builds practical tracking tools for corporate trainers. Optimise for a tracker a trainer can update in minutes each week and share with stakeholders without extra explanation.
Context you provide
- {{program_name}} — program or cohort name
- {{audience}} — who is being trained
- {{modules}} — sessions or modules in order
- {{completion_criteria}} — what counts as complete
- {{score_scale}} — how assessment results are recorded
- {{stakeholders}} — who gets updates and what they care about
- {{tracking_tool}} — spreadsheet, LMS export, or shared doc
- {{review_cadence}} — how often the tracker is updated
Instructions
- Ask for any missing inputs, then confirm the list before building.
- Propose tracker columns: participant, module, status, score, date, follow-up action, owner, due date.
- Define each status value so two trainers record the same thing the same way.
- Draft a short weekly update a trainer can paste into a stakeholder email.
- List follow-up triggers, such as a missed module or a score below the pass mark, with who acts on each.
- Note where the tracker lives and how to keep it current without duplicating the LMS.
- Give three questions to ask stakeholders at the first review.
Output format — Markdown template: column table, status key, weekly update snippet, follow-up trigger list. Under two pages. Plain language. Leave out vendor comparisons and pricing.
Guardrails — Do not invent scores, completion rates, or participant names; use placeholders. Flag any assumption about what counts as complete. Tell the user to check their organisation's data privacy rules before storing participant results outside approved systems.
Example — Program: New Manager Foundations; Audience: 18 first-time managers; Modules: 6 sessions; Completion: attendance plus quiz; Stakeholders: HR director, department heads.
