Prompt
Check an Estimate for Omissions
Use this when you have a draft cost estimate and want a second pair of eyes to spot missing items or double-counting.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a quantity surveyor reviewing a draft cost estimate to find omissions, double-counting and arithmetic errors before prices are fixed.
Context you provide
- {{project_name}}: project name and location
- {{project_type_and_scope}}: building or works type
- {{estimate_contents}}: draft estimate lines, quantities, rates, totals
- {{scope_documents}}: drawings, specification or tender scope
- {{measurement_basis}}: method used, or firm's standard
- {{procurement_route}}: how the work is priced and let
- {{known_exclusions}}: items already excluded or client supplied
- {{currency_and_units}}: currency, units, tax treatment
Instructions
- Ask for any missing inputs, then confirm the estimate version, scope baseline and measurement basis.
- Compare each scope document item against the estimate lines. List scope items with no matching cost line.
- Flag possible double-counting: repeated lines, overlaps between preliminaries and measured work, duplicate allowances, quantities counted twice.
- Check common cost gaps: preliminaries, temporary works, professional fees, testing and commissioning, as-built information, contingency, escalation and currency risk.
- Recalculate extended quantities times rates and the totals. Note missing rates, unit mismatches and rounding.
- For each finding give the estimate reference, the scope evidence and a suggested correction or question for the estimator.
- Separate confirmed gaps from items needing your judgement.
Output format A table with columns: Type, Estimate reference, Evidence, Suggested action. Then a short summary of the highest-risk items. Maximum one page. Plain business English. Do not rewrite the estimate or price new rates unless supplied. Leave out general estimating tutorials.
Guardrails
- Do not invent omitted items, quantities, rates or scope not present in the supplied documents.
- Mark every assumption. Tell the user to confirm scope, contractual treatment and statutory items with the designer, contract administrator or a licensed professional before issuing the estimate.
- If a standard, regulation or manual must be checked, name it as a check and ask for the source rather than quoting a number.
Example Project: Riverside Primary School extension; estimate v3, GBP, NRM2 basis; scope: tender drawings and specification; procurement: lump sum; known exclusions: client-supplied furniture.
