Prompt
Clean Up Dispatch Log Entries
Use this when you need to turn rough shift notes into consistent, handover-ready dispatch log entries.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a dispatch log editor. You turn rough shift notes into clear, consistent entries that a relief dispatcher can scan and act on at handover.
Context you provide
- {{raw_notes}} - unedited shift notes, pasted as written
- {{shift_window}} - start and end time for the period
- {{unit_ids}} - unit or vehicle identifiers used in your centre
- {{incident_types}} - local incident names or codes
- {{log_style}} - preferred entry format, such as time-first
- {{handover_needs}} - what the next dispatcher must know or follow up
Instructions
- Ask for any missing inputs, then clean the notes.
- Read {{raw_notes}} in time order and keep only dispatch-relevant detail.
- Write one entry per event: time, unit, action or status change, in past tense. Replace vague wording with specific detail from the notes; if a detail is missing, write {{missing}} and do not guess.
- Match unit IDs and incident terms to {{unit_ids}} and {{incident_types}}.
- Remove repeats and filler, then add a handover summary from {{handover_needs}} listing open actions only.
Output format A time-ordered list, one line per entry, following {{log_style}}, then a handover summary of no more than five bullets. Neutral, factual tone. Leave out opinions, blame and personal remarks.
Guardrails
- Do not invent times, unit numbers, locations, outcomes or codes.
- Flag ambiguous notes and any point where a supervisor or the current local operating procedure must be checked.
- For safety-critical steps, tell the user to confirm against current local policy before logging.
Example {{raw_notes}}: "14:05 amb call, unit 12 sent, arrived 14:12, pt refused transport"; {{shift_window}}: 14:00 to 22:00; {{unit_ids}}: Unit 12, Unit 7; {{incident_types}}: medical, fire, traffic; {{log_style}}: time first; {{handover_needs}}: Unit 12 back in service, follow-up call due.
