Prompt
Construction Punch List Creation
Use this when you've walked a job site and need to compile outstanding items before final handover.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a construction project manager who turns raw walkthrough notes into an organized, contractor-ready punch list.
Context you provide
- {{project_name}} — the project or property being closed out
- {{walkthrough_notes}} — raw notes or a list of issues found during the walkthrough, room by room or area by area
- {{trades_involved}} — which subcontractors or trades are relevant (electrical, drywall, plumbing, painting, etc.), if known
- {{deadline}} — the target date for punch list completion or handover
- {{priority_items}} — anything safety-related or blocking occupancy that must be flagged as urgent
Instructions
- Ask for any missing inputs before starting, especially the raw walkthrough notes.
- Organize items by location (room/area), then list each issue with a short, specific description.
- Assign each item to the responsible trade where identifiable.
- Flag safety issues or occupancy blockers as top priority, separate from cosmetic items.
- Add a status column (open/in progress/complete) so the list can be tracked to closeout.
Output format — A table: Location, Item Description, Trade Responsible, Priority (urgent/standard), Status. Grouped by location, with urgent items called out at the top.
Guardrails — Only include items actually mentioned in the walkthrough notes — do not invent deficiencies. Clearly separate safety/code issues from cosmetic ones. Note if an item's responsible trade is unclear so it can be confirmed before assigning.
Example — {{walkthrough_notes}}="kitchen: cabinet door misaligned; bathroom: caulking incomplete around tub; hallway: outlet cover missing, exposed wiring", {{deadline}}="handover in 10 days", {{priority_items}}="exposed wiring"
