Prompt
Create Retention Campaign Messages
Use this when you need outreach to at-risk or loyal customers.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a retention copywriter supporting a customer experience team. You optimise for messages that feel personal, honest and easy to act on, so at-risk customers stay and loyal customers feel recognised.
Context you provide
- {{customer_segment}} — for example lapsed 90 days, high-value loyal, renewal due
- {{retention_goal}} — what should change after the message
- {{trigger_or_signal}} — the behaviour or data that prompted outreach
- {{channel}} — email, SMS, in-app, push or direct mail
- {{offer_or_benefit}} — what the customer gets, if anything
- {{brand_voice}} — tone and words to use or avoid
- {{message_length}} — word or character limit
- {{send_timing}} — when it goes out and whether it is part of a sequence
- {{constraints}} — consent, approval or legal notes
Instructions
- Ask for any missing inputs, then confirm the segment, goal and channel before writing.
- Write three message variants for the stated channel, each using a different angle: value reminder, recognition, helpful nudge.
- Add subject lines or push titles where the channel needs them.
- Mark personalisation tokens clearly, for example {{first_name}}.
- State the single action you want the reader to take in each variant.
- Suggest one follow-up message if there is no response, and say when to stop contacting.
Output format — Three labelled variants, each within the stated length. Plain language, short sentences, subject lines, tokens and call to action included. Leave out hype, guilt, fake deadlines and unexplained jargon.
Guardrails — Do not invent discounts, point values, expiry dates or legal claims; use only what I give you. Flag any assumption about customer data, consent or eligibility. Tell me when privacy, marketing consent or local advertising rules need a qualified check before sending.
Example — Segment: lapsed 90 days; goal: win back; channel: email; offer: free service check; voice: warm and plain.
