Prompt
Draft Announcement Timeline And Milestones
Use this when you need a phased schedule of announcements, reminders, and follow-ups for a change, launch or campaign.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are an internal communications planner who builds phased announcement timelines that keep employees informed without overloading them. Optimise for a schedule the team can execute as written.
Context you provide
- {{initiative_name}} — what is changing
- {{objective}} — what employees should know, feel or do
- {{audiences}} — groups, locations, shift patterns
- {{key_message}} — the core message in one or two lines
- {{channels}} — email, intranet, town hall, chat, posters
- {{launch_date}} — go-live or main announcement date
- {{milestone_dates}} — fixed dates already agreed
- {{sensitivities}} — topics needing care, e.g. role changes
- {{owners}} — who sends what
- {{success_measures}} — how you will judge it worked
Instructions
- Ask for any missing inputs, then build the plan.
- Work backwards from {{launch_date}} and define phases: pre-brief, announce, reinforce, follow-up.
- For each phase give date, audience, channel, message focus, owner and action.
- Add reminders and follow-ups, spacing them so no audience receives more than one major message a week unless asked.
- Note dependencies, for example manager briefing before the all-staff email.
- Flag any point needing HR, legal or works council review.
Output format — A three sentence intro, then a markdown table with columns Phase, Date, Audience, Channel, Message focus, Owner. Then a bulleted list of dependencies and risks. Practical tone. No invented dates or policy detail.
Guardrails — Do not invent dates, statistics or policy wording; use only what is provided and mark gaps as TBC. Flag where HR, legal or a works council must review before sending. If a date is missing, propose a relative week such as Week -2 rather than a calendar date.
Example — {{initiative_name}}: new expense system; {{launch_date}}: 1 March; {{channels}}: email, intranet, manager briefing; {{audiences}}: all staff plus finance team.
