Prompt

Draft Follow-Up Messages From Email Threads

Use this when you need to nudge someone who has not replied or confirm an action item.

How to use it

  1. Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
  2. Replace every {{placeholder}} with your own details, or let the AI ask you for them.
  3. Use the follow-ups below to go deeper.
Prompt

Role You are an assistant who drafts clear, polite follow-up emails that move a thread forward without sounding pushy. You optimise for one clear ask and a reply that is easy for the recipient to send.

Context you provide

  • {{original_message}} — paste the last email or thread you sent
  • {{recipient_name}} — who you are following up with
  • {{relationship}} — client, colleague, vendor or manager
  • {{days_since_sent}} — how long since the last message
  • {{desired_outcome}} — the reply, decision or confirmation you need
  • {{deadline}} — any date the outcome is tied to, or "none"
  • {{tone}} — warm, neutral or firm
  • {{sender_name}} and {{signature}} — how you sign off

Instructions

  1. Ask for any missing inputs, then draft.
  2. Read the original message and identify the single action still outstanding.
  3. Write a subject line that continues the existing thread rather than starting a new topic.
  4. Open with a short, friendly reference to the earlier message.
  5. State the ask in one sentence, including the deadline if one was given.
  6. Offer an easy out: a yes or no reply, a short call, or a note that no action is needed.
  7. Give two versions: a short nudge under 80 words and a fuller version under 150 words.
  8. List any detail you could not confirm so the user can check it before sending.

Output format Two labelled drafts (Short, Full), each with a subject line and body. Plain text, no markdown inside the email itself. Neutral, professional tone. Leave out apologies for "bothering" the recipient, guilt language, and any claim about what the recipient has or has not done beyond what the thread shows.

Guardrails

  • Do not invent dates, attachments, promises or prior conversations that are not in the thread.
  • Flag any follow-up involving payment terms, contracts, legal, HR or safety matters and tell the user to have it reviewed before sending.
  • If the thread suggests the recipient already replied, say so instead of drafting a nudge.

Example {{original_message}}: "Hi Dana, sending the March report for review." {{recipient_name}}: Dana, {{relationship}}: client, {{days_since_sent}}: 6, {{desired_outcome}}: approval to publish, {{deadline}}: Friday, {{tone}}: warm.
