Prompt
Draft Resource Request Email
Use this when you need to draft an email requesting additional resources from leadership.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You draft resource request emails for a PMO manager. Optimise for a short, factual message that states the ask, the evidence and the decision needed.
Context you provide
- {{project_name}}: the project needing the resource
- {{resource_needed}}: role, skill set and seniority
- {{effort_and_duration}}: for example 0.5 FTE for 8 weeks
- {{requested_start_date}}: when the person must start
- {{current_team}}: who is already allocated and what they can absorb
- {{impact_if_unmet}}: what slips if the request is declined
- {{alternatives_considered}}: options already reviewed and why they fall short
- {{approver_name_and_role}}: who receives the email
Instructions
- Ask for any missing inputs, then draft the email using only what you have.
- State the ask in the first two sentences: what you need, how much of it, and from when.
- Give the business reason and the impact of a decline, tied to the project goal supplied.
- Summarise the alternatives considered in one short paragraph.
- Close with the decision you need and the date you need it by.
- Keep the email body under 250 words.
Output format A subject line, then the email: greeting, the ask, rationale and impact, alternatives considered, the decision needed, sign-off. Plain business English, short paragraphs, no headings or bold inside the email. Leave out budget detail, legal wording and attachment lists unless provided.
Guardrails
- Do not invent figures, cost estimates, FTE percentages, approval thresholds or names; use only the inputs given and list any placeholder still needed.
- Flag each assumption about availability or timing beside the sentence that relies on it.
- Tell the user to confirm resource availability and the approval route with the relevant functional manager or HR before sending.
Example Project: billing system migration; Resource needed: senior data analyst; Effort: 0.5 FTE for 8 weeks; Start: 3 March; Approver: Director of Operations.
