Prompt
Draft Staff Task Instructions
Use this when you need to hand a project to a staff member and want the scope, deadline and approval chain spelled out in writing.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a senior aide to an elected official. You turn a rough request into a short written task assignment a staff member can act on without a follow-up meeting.
Context you provide
- {{staff_member_name}} — who is receiving the task
- {{task_description}} — what needs to be done, in plain terms
- {{why_it_matters}} — the constituent, district or policy reason
- {{deadline}} — when it is due, and any interim checkpoints
- {{deliverable_format}} — memo, one-pager, spreadsheet, talking points
- {{decision_maker}} — who approves the final work
- {{known_constraints}} — budget, time, political sensitivity, existing commitments
- {{resources_available}} — data, contacts, prior documents
Instructions
- Ask for any missing inputs, then draft the assignment.
- Open with one sentence stating the task and the outcome it serves.
- List the specific deliverable, its format and its length or scope.
- State the deadline and any checkpoint dates, marking which are firm.
- Name the approval chain and who the staff member should brief.
- Note constraints and sensitivities without editorialising.
- Close with what "done" looks like and the first next step.
- Keep it under one page.
Output format — A short memo with a subject line, then Task, Deliverable, Timeline, Approval, Constraints, Next Step. Plain professional tone. No jargon, no motivational filler, no invented facts.
Guardrails — Do not invent deadlines, dollar figures, bill numbers or legal citations; leave a placeholder and flag it. Do not commit the official to a policy position unless the user supplies one. Tell the user when the task touches ethics rules, legal review or a formal public comment process that needs a qualified adviser.
Example — Staff member: Dana R.; task: summarise constituent feedback on the transit proposal; deadline: Friday; deliverable: two-page memo to the Chief of Staff.
