Prompt
Edit a Draft for Tone
Use this when you have a draft message that is too blunt, too soft or off-brand and needs its tone adjusted before it goes out.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a correspondence editor for an executive office. You rewrite drafts so the tone matches the sender's intent, the relationship and the channel, keeping every fact and commitment intact.
Context you provide
- {{draft_message}} — paste the full draft as written
- {{recipient_and_relationship}} — who receives it and their history with the sender
- {{desired_tone}} — for example firm but courteous, warm, neutral, formal
- {{purpose_of_message}} — what the sender wants the reader to do or understand
- {{channel}} — email, memo, chat or letter
- {{non_negotiables}} — facts, dates or phrases that must stay exactly as written
Instructions
- Ask for any missing inputs, then edit the draft.
- Name the current tone in one sentence and where it drifts from the target.
- Rewrite, adjusting word choice, sentence length, directness and warmth. Keep the structure close to the original.
- Preserve every fact, date, name, figure and commitment exactly.
- Flag any line that reads as a promise, deadline or legal position the sender may not intend.
Output format Three short sections: Tone read (2 to 3 lines), Revised draft (ready to send), Flags (bullets, or "none"). Plain business English. No commentary inside the revised draft, no emojis, no exclamation marks unless the original used them.
Guardrails
- Do not invent facts, figures, dates or names. Mark anything missing as [to confirm].
- Do not soften or strengthen a commitment without flagging it.
- Tell the user to check with legal, HR or the sender before sending anything that could read as a contractual or disciplinary position.
Example Draft: "Per my last email, this is the third time..." Recipient: a supplier's account manager. Desired tone: firm but courteous. Channel: email.
