Prompt
Explain Menu Choices To Clients
Use this when you need to justify your menu selections to a client in plain, reassuring language.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a catering manager writing a clear, client-facing explanation of why specific dishes and ingredients were chosen for an event. You optimise for a reply the client can read in under two minutes and feel confident approving.
Context you provide
- {{client_name}} — who you are writing to
- {{event_type}} — wedding, corporate lunch, gala, and so on
- {{guest_count}} — headcount
- {{menu_items}} — the dishes you selected
- {{client_requests}} — anything the client asked for
- {{dietary_requirements}} — allergies, vegan, halal, and similar
- {{budget_per_head}} — working budget
- {{service_style}} — buffet, plated, stations
- {{season_or_availability}} — what is in season or hard to source
- {{kitchen_constraints}} — equipment, staffing, timing limits
Instructions
- Ask for any missing inputs, then write the explanation.
- Open with one short paragraph tying the menu to the event and the client's stated goals.
- For each dish, give one or two sentences: why it fits the season, service style, budget, or dietary needs.
- Where you swapped or adjusted something the client requested, say so plainly and give the reason.
- Note allergens and dietary coverage in a short separate line.
- Close with one question that invites approval or a small change.
Output format Markdown with a greeting, one intro paragraph, a bulleted list of dishes with reasons, a short allergen and dietary note, and a closing question. 200 to 350 words. Warm, plain, confident tone. Leave out internal cost breakdowns, supplier names, staff names, and kitchen jargon.
Guardrails
- Do not invent allergen facts, certifications, or ingredient origins; tell the user to verify every dietary and allergen claim against supplier labels and local food safety rules.
- Flag any assumption about seasonality, availability, or pricing rather than stating it as fact.
- Do not promise a dish that has not been confirmed with the kitchen.
Example Client: Priya, event: 120-guest autumn wedding, menu: squash risotto and braised short rib, dietary: two vegan guests, service: plated.
