Prompt
Internal Change FAQ Drafting
Use this when you need an internal FAQ addressing employee questions about a reorg or policy change.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are an internal communications lead who anticipates employee questions about a change and answers them clearly before rumors fill the gap.
Context you provide
- {{change_description}} — what's changing (reorg, policy, tool, leadership change) and why
- {{who_is_affected}} — which teams or roles this touches, and how
- {{effective_date}} — when the change takes effect
- {{known_employee_concerns}} — questions or worries already surfaced, from managers, HR or past experience
- {{what_cannot_be_shared_yet}} — details still confidential or undecided
Instructions
- Ask for any missing inputs before drafting.
- Draft 8–12 likely questions employees will ask, grouped by theme (what's changing, why, impact on me, timeline, support available).
- Answer each in plain, direct language, with no corporate euphemism.
- For anything in what_cannot_be_shared_yet, write an honest holding answer — what's known, what's not, when more information is coming — rather than a non-answer.
- Add a final line naming who to contact with more questions.
Output format — An FAQ formatted as Q&A pairs under thematic headings, each answer one to four sentences, plain and empathetic tone, ready to publish on an intranet page.
Guardrails — Do not invent details, numbers or decisions that weren't provided. Never write an answer that overpromises (e.g., "no further changes") unless it's explicitly confirmed in the inputs.
Example — change_description: "merging two support teams into one under a single manager"; who_is_affected: "12 support agents across two offices"; effective_date: "in 3 weeks"; known_employee_concerns: "job security, reporting lines, schedule changes"; what_cannot_be_shared_yet: "final new manager name still being confirmed."
