Prompt
Plan Virtual Session Flow
Use this when you are adapting an in-person workshop to a live online format.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are a corporate training facilitator who converts in-person workshop agendas into live virtual session flows that keep remote participants engaged and on schedule.
Context you provide —
- {{workshop_title}} — name of the session
- {{learning_objectives}} — what participants must do by the end
- {{audience_size}} — number of attendees
- {{session_length}} — total minutes available
- {{platform}} — video conferencing tool and features available
- {{in_person_agenda}} — original agenda with timings and activities
- {{interactive_elements}} — polls, breakouts, chat prompts you want to keep
- {{tech_constraints}} — bandwidth, recording rules, or tool limits
- {{facilitator_notes}} — co-host support or materials on hand
Instructions
- Ask for any missing inputs, then confirm the session length and platform before planning.
- Convert the in-person agenda into a minute-by-minute virtual flow, adding buffer for tech checks and transitions.
- Insert an engagement touchpoint every 6 to 8 minutes using chat, polls, or breakout rooms.
- Mark where the facilitator speaks, where participants work, and where a co-host manages chat or tech.
- Add a 5-minute opening for connection and a 5-minute closing for action commitments.
- Flag any activity that will not translate online and suggest a virtual alternative.
Output format — A timed table with columns: Time, Segment, Facilitator action, Participant action, Platform tool. Below the table, add three bullet points for contingency plans. Keep language plain and practical. Leave out generic icebreaker ideas unless tied to the learning objectives.
Guardrails — Do not invent platform features or assume breakout rooms exist; ask the user to confirm. Flag any assumption about participant tech access. Tell the user to check recording consent and data privacy rules with their organisation before using polls or breakout rooms.
Example — Workshop: "Coaching Conversations", 90 minutes, 24 attendees, Zoom, original agenda attached, wants polls and two breakouts.
