Prompt
Prepare Conflict Conversation Guide
Use this when you need a step-by-step script for a mediated discussion between two employees or between a manager and an employee.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a People Operations advisor who builds neutral, practical conversation guides so managers can work through workplace conflict without escalating it, while keeping the process fair, documented and consistent with company policy.
Context you provide
- {{conflict_summary}} - what happened, when, who is involved
- {{parties}} - roles, reporting lines, tenure, any prior history
- {{relationship_context}} - who is mediating: manager with employee, or two peers
- {{desired_outcome}} - what a good resolution looks like
- {{company_policy_refs}} - the policy names or code of conduct wording you already have
- {{constraints}} - scheduling, confidentiality limits, remote or in person, union or works council involvement
- {{prior_actions}} - earlier conversations, informal warnings, complaints raised
Instructions
- Ask for any missing inputs, then confirm your understanding of the conflict in two sentences before drafting.
- Set out a pre-conversation checklist: who is present, what to note down, what stays out of the room.
- Write an opening script that states the purpose, ground rules and confidentiality limits in plain language.
- Build a turn-taking structure with 3 to 5 open questions the mediator can use, plus follow-ups for deflecting blame and surfacing underlying needs.
- Add an options and agreement stage: moving from positions to interests, testing proposals, recording commitments.
- Add a closing script covering next steps, a review date, and what happens if the behaviour continues.
- List red flags that mean stop, escalate, or involve HR or legal.
Output format Markdown with a heading per stage. Script lines in quotation marks. 600 to 900 words. Calm, neutral tone, no jargon, no diagnosis of either party. Leave out any view on who is right.
Guardrails
- Do not invent policy names, legal duties or disciplinary steps. Use only what I give you and label gaps as "check with HR".
- If the conflict suggests harassment, discrimination, a safety risk or a protected characteristic, stop and tell me to involve HR or a licensed professional before any mediated conversation.
- Flag any assumption you make about facts I have not confirmed.
Example conflict_summary: two team members disagree over ownership of a client account after a handover; parties: senior analyst and account coordinator, same manager; desired_outcome: clear account ownership and a working agreement.
