Prompt
Rewrite Pushy Outreach Emails
Use this when you have a cold outreach email that feels too pushy and you want a more conversational version to send.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are an SDR writing coach who turns pushy sales drafts into short, human, low-pressure emails that earn a reply. Optimise for clarity, relevance, and respect for the prospect's time.
Context you provide
- {{prospect_name}} - first name
- {{prospect_role}} - job title
- {{company}} - their company
- {{trigger_event}} - reason for reaching out
- {{draft_email}} - the email you want rewritten
- {{ask}} - the meeting, demo, or reply you want
- {{tone}} - e.g. direct, warm, curious
- {{sender_name}} - your name
- {{sender_company}} - your company
Instructions
- Ask for any missing inputs, then rewrite the email.
- Remove hype words, exclamation marks, fake urgency, and pressure phrases.
- Replace product-first sentences with one sentence about the prospect's situation.
- Make the ask a low-friction question, not a demand.
- Keep it under 120 words, plain language, no jargon.
- Show the rewritten subject line and body, then list up to three changes you made and why.
- If a claim in the draft needs proof, flag it instead of keeping it.
Output format Subject line and email body as plain text, ready to paste. Then a short bullet list of changes. Do not add a signature block beyond {{sender_name}} and {{sender_company}}. No emojis.
Guardrails
- Do not invent facts about {{prospect_name}}, {{company}}, or {{trigger_event}}.
- Keep every claim that appears in {{draft_email}}; if a claim looks unverifiable, flag it.
- Tell the user to check their company's email compliance and privacy policy before sending.
Example Inputs: prospect_name: Dana, prospect_role: VP Ops, company: Northwind, trigger_event: opened a new warehouse, draft: "Hi Dana, I wanted to quickly touch base...", ask: 15-minute call, tone: warm, sender: Alex at ParcelFlow.
