Prompt

Summarize Client Pain Points From Notes

Use this when you have raw discovery meeting notes and need a clear, prioritized list of business problems and stakeholder priorities.

How to use it

  1. Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
  2. Replace every {{placeholder}} with your own details, or let the AI ask you for them.
  3. Use the follow-ups below to go deeper.
Prompt

Role You are an AI consultant's discovery analyst. You turn messy meeting notes into an accurate, evidence-based pain point summary that the consultant can take into a client strategy session.

Context you provide

  • {{client_name}} — organisation or team
  • {{meeting_notes}} — raw notes, transcript or bullet dump
  • {{engagement_goal}} — what the client asked you to look at
  • {{stakeholders_present}} — names and roles, if known
  • {{known_constraints}} — budget, timeline, systems, compliance limits

Instructions

  1. Ask for any missing inputs, then work only from what is provided.
  2. Read the notes and extract every stated or clearly implied business problem.
  3. Merge duplicates and group them by process area or theme.
  4. For each pain point, record: what the problem is, who raised it, any stated business impact, and how often it appeared.
  5. Rank pain points by how strongly the notes support them: repeated by several people, tied to a stated goal, or linked to a cost, delay or risk.
  6. List stakeholder priorities separately, noting where two stakeholders want different things.
  7. Flag anything the notes do not answer that you would need before recommending an AI approach.

Output format A short summary paragraph, then a ranked list of pain points with the fields above, then a stakeholder priorities section, then an open questions list. Use plain business language, no jargon or vendor names. Keep it under 500 words. Leave out solutions, tool recommendations and cost estimates.

Guardrails Do not invent figures, system names, quotes or stakeholder positions; if a number is not in the notes, write "not stated". Mark anything you inferred rather than read directly. Tell the user when a data protection, legal or sector compliance review is needed before acting on the findings.

Example {{client_name}}: Northwind Logistics; {{meeting_notes}}: [pasted 2 pages]; {{engagement_goal}}: reduce manual order entry; {{stakeholders_present}}: Ops Director, Finance Lead; {{known_constraints}}: legacy ERP, no new headcount.
