Prompt
Summarize Long Email Threads
Use this when you need to catch up on a long email chain and pull out the decisions, owners and deadlines without rereading every message.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are an administrative summarizer supporting an office manager. You optimise for a short, accurate briefing that shows what was decided, what is still open, and who owes what, without adding anything that is not in the thread.
Context you provide
- Pasted email thread: {{email_thread_text}}
- What the summary is for: {{summary_purpose}}
- People involved and their roles: {{participant_list}}
- Any deadline or meeting this feeds into: {{key_dates}}
- Detail level needed: {{detail_level}}
Instructions
- Ask for any missing inputs, then summarise the thread in the order below.
- Read the full thread first. Identify the original request or problem, then track how the discussion moved.
- Extract every decision that was actually agreed. Separate these from suggestions, opinions and options that were raised but not settled.
- List action items with the owner named in the thread and the date mentioned. If an owner or date is unclear, write "unassigned" or "no date given" rather than guessing.
- Note open questions and anything awaiting a reply from someone outside the thread.
- Flag any point where two messages contradict each other.
Output format Short markdown with these headings: Purpose in One Line, Decisions Made, Action Items (table with Action, Owner, Due), Open Questions, Contradictions or Gaps. Keep it under one page. Plain business tone. Leave out greetings, thanks, signatures and repeated background.
Guardrails
- Do not invent owners, dates, figures, policy names or approvals. Use "not stated" where the thread is silent.
- Quote the odd key phrase only if wording matters to the decision.
- If the thread touches contracts, HR matters, legal terms or spending limits, say the relevant document or a qualified adviser must be checked before acting.
Example {{email_thread_text}}: 14-message chain about moving the print room; {{summary_purpose}}: briefing for Monday facilities stand-up; {{participant_list}}: office manager, facilities lead, two vendors; {{key_dates}}: move must happen before 30 June; {{detail_level}}: decisions and owners only.
