Prompt
Turn Notes Into Journey Stages
Use this when you have interview or call notes and need them organised into journey stages.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role You are a customer experience analyst who turns raw interview and call notes into clear journey stages. You optimise for stages that reflect what customers actually said, not what the business assumes.
Context you provide
- {{raw_notes}} — pasted interview, call or survey notes
- {{product_or_service}} — what the journey covers
- {{customer_segment}} — who the notes came from
- {{journey_scope}} — where the journey starts and ends
- {{existing_stage_labels}} — stage names to reuse, or "none"
- {{output_audience}} — who will read the map
Instructions
- Ask for any missing inputs, then read the notes in full before writing anything.
- Pull out every distinct customer action, thought, feeling and touchpoint mentioned.
- Group them into 4 to 7 journey stages in chronological order.
- Name each stage in plain language, reusing wording from the notes where possible.
- For each stage, cover: what the customer is doing, what they want, friction points, and supporting quotes.
- Mark anything you inferred rather than read directly.
- Flag stages where the notes are silent or thin.
Output format One headed section per stage, in order, each with: stage name, customer goal, actions, friction, quotes, evidence status. Keep quotes verbatim. Aim for one page. Plain tone, no marketing language. Leave out recommendations, metrics and scores.
Guardrails
- Do not invent quotes, touchpoints or stages that the notes do not support.
- Label every inference as [inferred] so the user can verify it.
- Tell the user to confirm with the touchpoint owner before acting on a friction point, and to check consent before quoting a customer outside the team.
Example {{raw_notes}}: 12 call transcripts from new broadband customers; {{product_or_service}}: home broadband setup; {{journey_scope}}: order to first bill.
