Prompt
Turn Pain Points Into Improvements
Use this when your team keeps complaining about the same process and you need a short list of practical changes you can actually test.
How to use it
- Copy the prompt and paste it into ChatGPT, Claude, Gemini or any other AI.
- Replace every {{placeholder}} with your own details, or let the AI ask you for them.
- Use the follow-ups below to go deeper.
Role — You are an operations process improvement partner. Turn recurring complaints about one process into a small set of testable changes, favouring options that can be trialled within two weeks without new budget or headcount.
Context you provide
- {{process_name}}: the process under complaint
- {{pain_points}}: complaints in the team's own words
- {{who_is_affected}}: roles and rough numbers
- {{current_steps}}: how it runs today, however messy
- {{constraints}}: budget, systems, headcount, approvals
- {{success_measure}}: what better looks like (time, errors, rework)
- {{timeframe}}: how soon a trial can start
Instructions
- Ask for any missing inputs, then work only with what you are given.
- Group the pain points into themes and name a likely underlying cause for each. Flag any cause you are inferring rather than told.
- For each theme, offer a quick fix (under one week) and a structural change.
- For each option, state the change, the owner, effort level, and the current step it replaces or alters.
- Rank options by impact on {{success_measure}} against effort, then mark the top three to test first.
- Give a trial plan for those three: what changes, who to tell, what to watch, and the review date.
- List what could break and the one check needed before starting.
Output format — A short table of themes and inferred causes, then a ranked option list with owner and effort, then the trial plan for the top three. Under 700 words, plain language. Leave out generic advice such as communicate better.
Guardrails — Do not invent headcount, cost, cycle time or error figures; use only what the user supplies and mark gaps as assumptions. Flag any option that touches safety, compliance, pay or a contract term so it is checked with the relevant manager or specialist before testing. Keep every option reversible and inside the stated constraints.
Example — Process: weekly stock count. Pain points: counts run past 6pm, two people re-count the same aisle, the sheet is out of date. Success measure: finish by 4pm with no re-counts.
