Ooma Adds AI-Powered Call Management Tools to Office Platform

Ooma rolled out five new AI features for its Office communications platform on May 12, designed to automate call handling, transcription, and analysis. The tools include AI Transcriptions, AI Answering Service, AI Receptionist, AI Insights, and an integration with OpenAI's API.

The move targets a specific problem: businesses waste time on manual call documentation, miss incoming calls during peak hours, and struggle to extract patterns from customer conversations. Ooma's suite addresses each with automation.

What Each Feature Does

AI Transcriptions converts call recordings into searchable text and summaries. It includes an "Ask AI" function to extract specific details from calls. The feature comes at no extra cost with Ooma Office Pro Plus subscriptions.

AI Answering Service deploys a virtual agent to answer missed calls, collect caller information, and respond to frequently asked questions. Pricing starts at $14.99 per license monthly, with 40 minutes of usage included. Average calls run about two minutes based on Ooma's data.

AI Receptionist, currently in beta, handles more complex tasks: booking appointments, routing calls to the right department, and sending SMS follow-ups. It costs $49.99 per license monthly with 100 minutes of usage included.

AI Insights, also in beta, analyzes call data to identify trends, customer sentiment, and common complaint categories. The dashboard lets managers ask questions like "Why are customers calling this week?" or "Are complaints increasing?"

Both answering service and receptionist features can be deployed in minutes without coding.

OpenAI Integration

For businesses already using OpenAI, Ooma offers integration with ChatGPT's API. Recorded calls get transcribed and summarized using OpenAI's models, with results displayed in the Ooma interface.

Availability and Rollout

AI Transcriptions, AI Answering Service, and the OpenAI integration are available now. AI Receptionist and AI Insights will roll out fully in the coming weeks.

The company plans additional AI features in future releases.

For management professionals, the practical benefit centers on reducing manual work. Staff spend less time transcribing calls or writing summaries. Missed calls get handled automatically. Data patterns surface without manual review.
