Zapier uses ChatGPT Work to automate lead funnel optimization and reporting

Angela Ferrante, head of enterprise marketing at Zapier, used ChatGPT Work to build an automated lead funnel optimization system that recovered seven figures in sales pipeline every month. The system performs quality assurance and quality control checks on thousands of leads monthly, dramatically reducing the manual effort previously required to diagnose where strong inbound leads were dropping off.

How the automatic funnel system works

Ferrante discovered that Zapier generated a high volume of strong inbound leads but also experienced a high drop-off rate. Finding where leads were falling through the funnel traditionally required an intensive QA/QC process that was nearly impossible to sustain at scale.

"A single person looking at one dropped lead would take 35 to 45 minutes just to get a picture of what went wrong," Ferrante said. With ChatGPT Work, the team built a system that identified the root causes of lead problems, patched the issues, and delivered the quantifiable impact to the sales team every month.

The system now runs continuously, producing an executive dashboard that highlights recurring problems in the lead pipeline and tracks weekly trends. "It has just transformed how we do work and what we're able to do," Ferrante said.

Faster campaign creation and reporting

The marketing team also uses ChatGPT Work to speed up campaign asset development. "Within minutes, we have actual campaign assets ready to review and push out. ChatGPT Work can actually go into all the systems we use to build campaigns and do the building for us," Ferrante said.

The AI for Marketing tools let the demand generation team spend more time on creative strategy. "The demand generation team can get more creative about campaigns and filter that work through ChatGPT Work, which will give them ideas for campaign optimations," Ferrante explained.

The same applies to reporting. "We were able to get reporting dialed in so that we can spend more time doing work instead of analyzing the results of the work," Ferrante said.

Plans for always-on automation

Ferrante sees room to push the work system further. "Some of the most impactful work, which will really transform the marketing team, is to set up always-on loops, not just using prompts," she said. AI Agents & Automation systems that run continuously without human intervention are the next logical step.

Her long-term vision is a "shared brain" that takes context from meetings, call recordings, customer data, and market insights. "We will have work happening on autopilot, and humans can be the tastemakers," Ferrante said.

Why this matters for marketing professionals

Ferrante's team at Zapier is not using AI to replace marketing work. They are automating the parts of marketing that no one wants to do anyway: manually checking hundreds of lead records, rebuilding reports from scratch, and clicking through campaign management tools. The result is more pipeline handed to sales, faster campaign turnaround, and marketing teams that spend their time on strategy and creativity instead of spreadsheets. Any marketing team with access to an AI assistant can start asking the same question: which repetitive tasks in our funnel are costing us time and losing us leads?
