AI agent for accounts receivable specialists

Aging Priority and Call Prep Agent

A ranked weekly call plan that collects the most at-risk cash first

Aging Priority and Call Prep Agent: what goes in, what the agent does and what you get

What it does

Collectors often work the aging report from top to bottom, which spends time on safe accounts while risky ones slip. Each Monday this agent ranks the aging report by risk and value. It looks at balance, days past due, payment trend, broken promises and credit limit use. For the top accounts it builds a call sheet with open invoices, last contact, promises made, disputes and a suggested ask. After calls, the specialist logs outcomes, and the agent checks whether each promise to pay was kept on the date. Broken promises move the account up the list, and the agent re-ranks and updates the plan. The specialist decides what to say and any escalation or credit hold. Edge case: a large customer is always 40 days late but always pays, so the agent weighs its own history and does not rank it above a newly slipping small customer.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It scores each account on balance, days late, change versus normal pattern and broken promises, then ranks by score.

  • Broken promise: move to top 10
  • Paying slower than its own normal pattern by 15 days: raise score
  • Over credit limit and over 60 days: suggest credit hold

An example run

What happensOn May 6 the agent ranked 140 accounts and put a $36,000 account at number 3 because it had broken two promises. After Tuesday's call the customer promised payment Friday. The following Monday no payment had arrived, so the promise check failed. The agent moved the account to first and suggested a credit hold. The specialist approved escalating to the credit manager, who placed the hold.
