AI agent for fraud analysts

Cash Handling and Till Variance Agent

Trace till variances to likely causes quickly and spot patterns without accusing anyone.

Cash Handling and Till Variance Agent: what goes in, what the agent does and what you get

What it does

A till is $85 short on Tuesday, and by Friday nobody remembers what happened. This agent reads the daily till reports and finds variances beyond the limit. For each, it pulls the transactions, voids, refunds and no-sale openings around the shift and builds a timeline to trace likely causes, such as a refund without a receipt, a void after payment or a cash drop that was never recorded. It asks the cashier for a note and rechecks the trace with their answer. The result is a short case with the evidence, a likely cause and a confidence level, not a verdict. It also looks for patterns across days, tills and people. The manager approves any action about a person. Edge case: two cashiers shared a till, so the agent flags that the trace cannot separate them.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

A variance needs a trace above the limit or when the same till is off by small amounts three days in a row. A cause is likely when the evidence accounts for most of the difference.

  • Trace a variance of $20 or more, or three days in a row over $5
  • Present causes with a confidence level and the evidence
  • Flag shared tills as untraceable to one person
  • Look for patterns by till, shift and day before looking at individuals

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Variance limit (default $20)
  • Repeat rule (default three days)
  • Reports and tills covered
  • Cashier question template
  • Spot check schedule

What keeps you in control

It always asks you first

  • Manager approves questions to staff
  • Manager approves any action about a person

Hard limits

  • Never accuse anyone or recommend discipline
  • Never change till or transaction records

It stops when

  • Done: each case has a cause or is marked as unexplained
  • Stop: evidence suggests theft, which goes to the manager and policy only

An example run

What happensA till is $85 short on Tuesday. The trace finds two voids after payment totaling $48 and a $37 refund without a receipt, which together explain the amount. The agent asks the cashier, who says the voids were a card error. A check against the card terminal shows that two charges were reversed, which accounts for the voids. The refund remains unexplained, so the agent marks it for a spot check.
