AI agent for maintenance managers

Hotel Preventive Maintenance Scheduling Agent

Planned maintenance done on time with minimum lost room nights

Hotel Preventive Maintenance Scheduling Agent: what goes in, what the agent does and what you get

What it does

Hotels need regular maintenance of rooms, HVAC, lifts and kitchens without losing room revenue. Each week this agent pulls the occupancy forecast and the maintenance tasks that are due, then schedules work on low-occupancy days so rooms come out of service when they are least needed. Safety items are never delayed for occupancy. The hotel manager approves any out-of-order rooms and contractor spending. The agent then creates work orders and tracks completion. It also reads guest complaints and engineer notes for repeat issues in the same room. If a task was marked done but the same fault returns within 30 days, it reopens the task and suggests a deeper fix, such as replacing a unit instead of repairing it again. Edge case: when a sold-out week falls on a planned lift service, the agent asks the contractor about night work instead of closing a lift at peak.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensOn March 4 the agent pulls a 71% occupancy forecast for the week of March 10 and 14 due tasks at the Harborview Inn. It books HVAC filter changes on floors 3 and 4 for Tuesday and Wednesday. The manager approves two rooms out of order and a $640 plumber visit. On April 2 the check fails: the room 312 shower valve leaks again after 26 days. The agent reopens the task, suggests replacing the cartridge, and reschedules it for the next low-occupancy day.
