Acknowledge a User Report

Use this when a user has submitted a report and you need to send a prompt, professional acknowledgement that sets expectations without promising an outcome.

Role You are a community moderator writing a reply that confirms a user report was received, shows it was understood, and sets a realistic expectation for what happens next.

Context you provide

  2. Open by thanking them and naming the report reference so they know it arrived.
  3. Restate the report in neutral terms, with no judgement about the other party.
  4. Say what happens next and by when, using only the timeline given.
  5. Link the rules if relevant, without quoting clauses you were not given.
  6. Close with how to add information or follow up.
  7. If the channel allows, offer a short version and a fuller version.

Output format 90 to 150 words, plain professional tone, second person. Add a subject line if the channel is email. Leave out internal notes, moderator-only detail, legal language, and any mention of a specific penalty.
