Event planners are redefining success in 2026, shifting focus from attendance numbers to engagement quality-and turning to AI to help smaller teams deliver higher ROI on tighter budgets. The advice came from a panel of industry leaders at Cvent Accelerate 2026, titled "Decoding the Shift: B2B Event Trends & the Path Forward in the AI Age."

All panellists agreed that engagement and its measurable results are now the primary metric for a successful event.

Quality over quantity-and the shift to smaller events

Richard Bautista, senior assistant director of programming operations and events management, said audience quality now matters more than raw attendance numbers. "Authentic human interaction is the cornerstone of a successful modern event," Bautista said.

Florence Chua, managing director APAC of PCMA, pointed to geopolitical instability as a driver of fragmentation. Large-scale events are splitting into smaller, localized activations. "This has resulted in better engagement, value for money, and a higher ROI," Chua said. It also reduces risk in uncertain global conditions.

Rising competition and price sensitivity

Celine Du, chief commercial and marketing officer for Pan Pacific Hotel Group, warned that fragmentation is intensifying competition. As events get smaller, the market sees more price sensitivity and increased competition among venues and suppliers.

AI's role-with a caution

The conversation turned to whether AI can help teams stretched thin by smaller budgets and leaner staff. Chua said that while some companies assume AI is a quick fix, she cautioned that "this was no replacement for proper staff training."

Amelia Lee, vice president and head of global marketing for ST Engineering, said AI could help organizers understand their customers better and continue engaging with them post-event-which can raise ROI. Practical takeaway for planners

For event professionals, the panel offered a concrete message: shift metrics from "how many came" to "how deeply they engaged." Use AI for audience intelligence and post-event follow-up-not as a substitute for training your staff. The AI for Hospitality & Events training resources provide focused guidance on applications like these.

Why this matters for hospitality and events professionals

If your job involves proving event ROI, you can expect more requests for localized, smaller activations on tighter budgets. The panel's data points-better engagement and value from smaller events-give you evidence to take to stakeholders. And since AI tools to post-event follow up can add directly to ROI, investing in team AI skills now may yield return in weeks, not years.
