AI agent for academic advisors

Advising Appointment Prep Agent

Every appointment starts informed and ends with tracked actions

Advising Appointment Prep Agent: what goes in, what the agent does and what you get

What it does

Each advising appointment goes better when the advisor already knows the student's situation. The evening before, this agent reads each booked student's degree audit, grades, holds, alerts, past advising notes and the reason given when booking. It drafts a one-page brief with key facts, open items from last time and suggested topics. It checks the brief for missing data and pulls what it can from other records. After the meeting, it records the agreed actions in the notes, which the advisor approves. At the next meeting it checks whether those actions were done. If not, it carries them into the next brief and notes any blockers. Edge case: if a student has not been seen in over a year, it highlights what changed since then.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensThe evening before, the agent prepared briefs for advisor Tom Hale's 8 appointments. For student Ava Kim, the check found a financial hold not listed in the brief. It looped back, read the hold details and added a note. Tom used the brief, and the agent drafted follow-up notes. Tom approved them, and the hold was resolved the next week.
