AI agent for tour guides

Booking and Group Manifest Agent

An accurate daily manifest matching tickets and needs

Booking and Group Manifest Agent: what goes in, what the agent does and what you get

What it does

Guides sell the same tour on several booking platforms and their own website, and each sends bookings in a different format. Merging them by hand the night before is where mistakes creep in. This agent pulls the next day's bookings from every platform, merges them into one manifest, removes duplicates matched by name and email, and lists special needs such as wheelchair access, dietary needs or a child seat. It then compares the headcount with the entry tickets and timed slots already bought for museums or sites. Tickets must cover everyone. If the numbers do not match, it traces which booking caused the gap and tells the guide, then checks again after the fix. The guide approves the final manifest and any messages to guests. Edge case: a booking made after the manifest was sent triggers an updated manifest and a new ticket check.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensOn the evening of October 10, the agent pulled 46 bookings from three platforms and the guide's website for a museum walking tour. After merging, one family appeared twice. The headcount check failed: 44 guests but only 40 timed museum tickets. It traced the gap to four late bookings on one platform. The guide bought four tickets, the recheck matched, and the guide approved the manifest with one wheelchair note.
