Gallery Commission Split and Payment Agent

A verified record of what each gallery owes the artist, with shortfalls and late payments queried with evidence

Gallery Commission Split and Payment Agent: what goes in, what the agent does and what you get

What it does

A gallery sells a painting in March, and by June the artist has received a payment that looks too low but has no easy way to check. This agent keeps the consignment agreement and the payments side by side. After each sale, it reads the agreement for the commission split, discounts, framing deductions and payment terms, then calculates the artist's share and the due date. When money arrives, it compares the amount with the calculation and flags any shortfall or late payment. It drafts a query to the gallery that cites the clause and the figures, and it rechecks the account when funds arrive after the query. It keeps a running ledger per gallery. The artist approves each message. Edge case: a sale with a collector discount may reduce both shares, so the agent checks who bears the discount under the contract.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It calculates the expected share from the clause, compares it with the deposit, and treats a difference over 2 dollars or a delay beyond the contract terms as a query.

  • Query when the difference is over 2 dollars or 1 percent
  • Check who bears collector discounts under the clause before calculating
  • Treat payment later than the contract term as late
  • Wait 7 days after a query before a follow-up

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Commission rates per gallery
  • Payment term in days
  • Difference threshold
  • Follow-up wait (default 7 days)
  • Where deposits are read

What keeps you in control

It always asks you first

  • Artist approves each message to a gallery

Hard limits

  • Never contact a gallery without approval
  • Never state a legal claim, only the clause and the figures

It stops when

  • Done: All sales are paid correctly or a query is open with the gallery
  • Stop: The agreement is unclear on a clause, so the agent asks the artist to confirm the terms

An example run

What happensA 4,800 dollar painting sells at a 10 percent collector discount. The agreement gives the artist 50 percent after discounts, so 2,160. The gallery pays 2,000. The agent drafts a query citing the clause and the 160 shortfall. The artist approves it. After 8 days the account shows 160 more, and the ledger is closed.
