Group Therapy Session Planning and Attendance Agent

Early identification of dropping members and group issues, with clinician-approved outreach

Group Therapy Session Planning and Attendance Agent: what goes in, what the agent does and what you get

What it does

Group therapy problems, such as one member dominating or attendance dropping, are often noticed mid-course when they are harder to fix. This agent tracks attendance and fit by member, flags those at risk of dropping, and proposes adjustments to the group composition or schedule. It drafts outreach for missing members. Before each session it checks the planned session content against the group's stage and the members present. After each session it reads the attendance record and rechecks the group's risk list. The clinician approves outreach. Edge case: two members miss the same Tuesday session each month, so the agent proposes a scheduling change.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

A member is at risk after 2 absences in 4 sessions or when notes record disengagement. Patterns across members suggest schedule changes.

  • Flag a member after 2 absences in 4 sessions
  • Look for a schedule conflict when two or more members share an absence pattern
  • Draft outreach within 2 days of an absence
  • Never name members in shared reports

An example run

What happensIn week 5 of an 8 week group, member C missed the third session of the last four and member F missed two Tuesday sessions. The risk check flagged C. The agent also saw both missed sessions fell on Tuesdays near a shift change. It proposed moving the group to 5 pm and drafted a message to C. The clinician approved. Attendance rose in weeks 6 and 7.
