Major Donor Prospect Briefing Agent

Give the officer a sourced one-page brief before each donor meeting

Major Donor Prospect Briefing Agent: what goes in, what the agent does and what you get

What it does

Before a donor visit, a major gift officer needs a short, accurate brief, but gathering it takes hours. This agent pulls the donor's giving history, past meetings, event attendance, board connections and interests from the database, and searches public foundation filings and news about their philanthropy. It drafts a one-page brief with a suggested ask range: 1.5 to 3 times the largest gift if giving is rising. It then checks every fact has a source and relates to giving; unsourced or unrelated items, such as personal details, are removed, and gaps are searched again or marked unknown. When two records seem to be the same person, it asks before combining them. The officer approves the brief and decides the ask. Edge case: possible duplicate records are never combined without approval.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensFor a donor with gifts of $5,000, $7,500 and $10,000 over three years, the agent suggested a $15,000 to $25,000 ask for the capital campaign. The source check failed on one news item that named a different person with the same name, so it was removed. A second search found the donor's family foundation filing. The officer approved the brief and chose $20,000.
