AI agent for music teachers

Recital Program Planning Agent

A recital where every student is ready and the program fits

Recital Program Planning Agent: what goes in, what the agent does and what you get

What it does

Recitals need every student ready with a piece, a program that fits the time slot, and a venue and accompanist booked, and teachers usually juggle this in the evenings. Eight weeks out, this agent collects each student's piece and its duration, reads readiness ratings from lesson notes, and drafts a running order that fits the slot and mixes levels, with the youngest students early. It then checks two things: is the total time under the slot, and is every student rated ready four weeks out? When a check fails, it suggests shorter pieces, cuts or swaps to easier repertoire, rebuilds the order and checks again. It also tracks venue, accompanist rehearsal times and parent RSVPs. The teacher always approves the final program and the venue booking. Edge case: if the program still runs over after cuts, it proposes splitting into two sessions.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensEight weeks before the June 7 recital, the agent collected 16 pieces totaling 68 minutes for a 60-minute slot. The check failed, so it looped back and suggested shorter versions for 3 pieces. Four weeks out, 2 students were rated not ready. Teacher Ellen Shaw approved swaps to easier pieces. The program came to 57 minutes.
