AI agent for school counselors

Scholarship and Aid Matching Agent

A calendar of scholarships the student qualifies for, with each application tracked to submission.

Scholarship and Aid Matching Agent: what goes in, what the agent does and what you get

What it does

The scholarship list has 150 entries, with deadlines scattered across months, and students miss the ones they could win. This agent matches the student profile to scholarships, checks eligibility and deadlines, and builds a calendar and document checklist. It tracks submission status and re-checks the listing for changes. It also checks each listing again before the deadline in case the rules, amount or due date have changed since the first read. Students who are close to a cutoff, such as a grade point average, are flagged so no one skips a scholarship they might still qualify for. Edge case: a scholarship requires a recommendation letter two weeks before the deadline, so the agent adds an earlier task. The student or counselor approves each application.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It ranks eligible scholarships by fit and deadline and moves earlier tasks ahead of any requirements such as letters.

  • Drop a scholarship if any hard requirement fails.
  • Set reminders 14 days and 3 days before each deadline.
  • Require recommendation letters to be requested 3 weeks early.
  • Rank higher by fit before award size.

What keeps you in control

It always asks you first

  • Choice of applications
  • Any submission or recommendation request

Hard limits

  • Never submit an application.
  • Do not share a student's data with outside sites.

It stops when

  • Done: all chosen applications submitted or dropped
  • Stop: the student's profile is incomplete, so the agent asks for it

An example run

What happensJorge's profile matches 34 scholarships. The agent drops 20 on eligibility and ranks the rest. A $2,000 award requires a counselor letter by March 1, so the agent sets the request for February 8. In February, the check finds the letter not requested and sends a reminder. Jorge submits, and the counselor confirms.
