AI agent for vice president of human resources
Total Rewards Statement Preparation Agent
Build accurate total rewards statements for every employee that tie to payroll.
What it does
Total rewards statements show each employee what the company really spends on them, but building thousands of them from separate systems invites mistakes. This agent pulls base pay, bonus, benefits cost, retirement match and equity value for each employee, then builds the statement. It checks each total against payroll for the same year. If a person's pay differs from payroll, it finds the cause, such as a mid-year raise or a missing bonus, corrects the input, and rebuilds. People with data it cannot resolve are held back and listed for review. Edge case: employees who joined mid-year get prorated figures with a note. The VP approves before any statement reaches employees.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Statement cycle opens
- Pull pay, bonus, benefits and equity data
- Prorate for hires, leavers and leaves of absence
- Build one statement per employee
- Compare each statement total with the payroll register
- Does every statement tie to payroll within 1 percent? If not: trace the mismatch to a raise date, bonus or benefit, fix the input and rebuild. Back to step 3.
- List employees still unresolved and the reason
- Run a sample read for wording and plan names
- VP approves statements before releaseThe agent waits here for your OK.
- Approved statements and an exceptions list
How it decides
It accepts a statement only if each pay component ties to payroll within a small tolerance, otherwise it investigates the difference.
- Hold back any statement that differs from payroll by more than 1 percent
- Use the employer cost of benefits, not the list price
- Value equity at the last approved grant value only
- Add a proration note when the employee worked under 12 months
Make it yours
Every agent is a starting point. You choose these settings for your own situation.
- Tolerance against payroll (default 1 percent)
- Components shown on the statement
- Equity valuation date
- Statement layout and wording
- Groups to run first
What keeps you in control
It always asks you first
- VP approves statements before they go to employees
- Compensation lead approves equity values
Hard limits
- Never sends statements to employees
- Does not show other employees' data
It stops when
- Done: all statements tie or are listed as exceptions
- Stop: payroll register for the year is incomplete
