Treatment Estimate Agent

Accurate estimates and no surprise bills

Treatment Estimate Agent: what goes in, what the agent does and what you get

What it does

Owners want a clear cost before treatment, and surprise bills damage trust. This agent reads the treatment plan and builds an estimate from the fee schedule with low and high ranges. It checks for often-missed items, such as anesthesia monitoring, pain medicines, pre-op bloodwork or extra radiographs, and compares the total with past similar cases. The vet approves the estimate before it is shared with the owner. During treatment, it tracks charges against the estimate. When charges reach 90% of the high range, it alerts the vet and drafts an updated estimate, so the owner can be called before the total goes over. Edge case: for insured pets, it also prepares the claim form with the items and codes the insurer needs.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensFor a dog's dental cleaning, the agent built an estimate of $480 to $720. It added missing items: pre-anesthetic bloodwork and pain medication. Dr. Liam Ford approved and the owner signed. During the procedure, three extractions pushed charges to $865. The check failed, so the agent drafted an updated estimate. Dr. Ford called the owner, who approved before the bill was finalized.
