Visa Application Review Queue Agent

Complete, consistent visa files in the officer's queue before interview day

Visa Application Review Queue Agent: what goes in, what the agent does and what you get

What it does

Consular sections receive many visa applications, and incomplete files waste scarce interview slots. This agent reads each submitted form and uploaded document and compares them with the checklist for that visa category. If something is missing, it drafts a request for staff to send and waits for the upload. Once all documents are in, it checks that names, passport numbers, birth dates and travel dates match across every form. Complete, consistent files move to the officer's interview queue with a short summary. Files with missing items are never scheduled. The agent never decides on a visa; it only prepares the file. Edge case: if documents show a mismatch, such as a different birth date across forms, it flags it for the officer instead of asking the applicant to fix it.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

A file is complete when every checklist item is present and dates and identity fields match across documents.

  • Checklist depends on visa category
  • Identity mismatches go to the officer, not the applicant
  • Files with missing items are not scheduled

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Checklist per visa category
  • Days before interview a file must be complete (default 5)
  • Request message templates and languages
  • Fields to cross-check

What keeps you in control

It always asks you first

  • Staff approve each message to applicants
  • Officer makes every visa decision

Hard limits

  • Never approves or refuses a visa
  • Never contacts applicants without staff approval

It stops when

  • Done: file complete and queued
  • Stop: applicant has not responded in 30 days

An example run

What happensA student visa file submitted Jul 8 lacked proof of funds. The agent drafted a request, staff sent it, and the applicant uploaded a bank letter on Jul 10. The re-check passed the checklist, but the passport number on the school admission letter differed by one digit from the passport. The agent flagged this for the consular officer, who reviewed it at interview and approved the visa.
