AI isn't a sidekick anymore. It's writing client emails, summarising meetings, answering regulated questions, and showing up in the very channels PR and Communications teams use every day.

Adoption is racing ahead, but oversight isn't. In Theta Lake's 7th Annual Digital Communications Governance Report, 99% of financial services firms plan to expand AI use, while 88% already face governance and data security issues. That gap is where brand, conduct, and regulatory risk pile up.

Treat AI like a speaker, not a tool

AI is now an active participant in business conversations. Single snapshots of prompts and replies don't tell the full story. Context lives across threads, edits, and follow-ups.

If AI content touches regulated activity or external audiences, treat it as official communication. Capture it at the point of creation, keep the full conversation context, and apply the same supervision and archiving rules you use for humans.

Govern prompts, behaviors, and outputs

Risk doesn't start at the finished message. It starts with the prompt. Employees will test limits, unintentionally expose PII or material nonpublic information (MNPI), or try to bypass safety features.

You need visibility into prompts, system messages, settings, and outputs. That's how you flag unsafe content, catch misuse, and identify unsanctioned AI tools before they spread inside your comms stack.

Demand proof-not promises-from vendors

"Responsible AI" claims are everywhere. Certifications and audits are how you separate marketing from reality.

Ask for evidence of governance maturity, including roadmap transparency, model lineage, data handling, and audit trails. Centralise controls so AI interactions-regardless of channel-follow consistent retention, supervision, classification, and approval rules. One policy, many surfaces.

  • Map AI communications: Identify where AI writes, edits, responds, or summarises (email, chat, social, CRM, meeting notes).
  • Set channel-level rules: Define what AI can and cannot do per channel (e.g., external replies require human approval; summaries are archived automatically).
  • Capture full context: Store prompts, system instructions, outputs, and revisions-threaded, time-stamped, and searchable.
  • Classify risk early: Apply labels at creation (regulated content, client-specific, sensitive data) to route for review or hold.
  • Apply brand and conduct guardrails: Enforce tone, claims, and disclosures. Block prohibited topics and risky phrases at generation time.
  • Close data leaks: Block PII/MNPI in prompts, restrict copy/paste to public models, and log exceptions.
  • Vet vendors with evidence: Require ISO/IEC 42001 progress, model documentation, data locality, and audit logs-not just policy PDFs.
  • Train for prompt hygiene: Teach teams how to ask better questions without exposing sensitive details. Include red-team drills for "jailbreak" attempts.
  • Instrument reviews: Create fast approvals for AI-generated press notes, client comms, and social replies-measure cycle time and error rate.
  • Unify retention and e-discovery: Ensure AI-generated content lands in your archive with the right labels and holds.
  • Update crisis playbooks: Add AI failure modes (hallucination, tone drift, outdated facts) and response protocols to your incident plans.
  • Report to the board: Track adoption, incidents, vendor status, and exam readiness with clear metrics.

Practical policy moves to ship this quarter

  • AI communications policy addendum: Scope, approved tools, banned uses, review thresholds, and recordkeeping rules.
  • Meeting summary rules: What gets summarised, where summaries live, how corrections are handled, and who can share them.
  • External messaging controls: Disclosures for AI-assisted content, high-risk topic filters, and client consent guidance.
  • Shadow AI prevention: Network controls, app whitelists, and a simple request path for new tools.
