Eventflow Launches AI Assistant to Handle Exhibitor Questions
Eventflow, an event operations platform, has released Eventflow AI, an assistant that answers exhibitor questions using only data from each specific event. The tool responds to queries like "How do I order power?" or "Where are the marketing assets?" with instant answers pulled from exhibitor manuals and event content already stored in the platform.
The assistant is built on Google Gemini and designed to reduce the volume of repetitive support emails event teams receive. It operates at event level only, meaning it cannot access data from other shows or invent answers when information is unavailable.
How It Works
Exhibitors ask questions through the platform and receive answers based exclusively on their event's content. If the assistant cannot find an answer, it directs the exhibitor to contact the organiser and flags the gap to the event team.
The tool includes direct links to relevant pages, tasks, and downloads within Eventflow, guiding users to their next action without additional clicks.
Early Adoption
BTC Prague and The BIBA Conference are already using the feature. Eliska Martinikova, Partnership Manager at BTC Prague, said: "Since our entire company is AI-oriented, this will be a hit across the team. Of course, it should also be very helpful to the exhibitor, which is the main value."
Katie Reay, Exhibition Manager at The BIBA Conference, said: "Eventflow AI is amazing. It feels like a landmark update for us and will hopefully save so many questions from exhibitors by helping them find the answers they need much faster."
Benefits for Event Teams
- 24/7 support: Exhibitors access answers outside business hours without waiting for staff responses.
- Reduced email volume: Common questions are answered automatically, freeing teams to focus on complex issues.
- Content insights: Unanswered questions reveal gaps in exhibitor guidance, helping organisers improve their manuals and support materials over time.
- Data security: Event-level isolation ensures private data stays private and cannot cross between shows.
- Multilingual support: The assistant can respond in multiple languages.
Christian Skelton, Co-Founder at Eventflow, said: "Most exhibitors do not read the manual. Eventflow AI gives them a way to ask questions and get instant answers. Event ops teams can focus on delivering the event instead of answering 'where can I find' emails."
The platform requires no additional admin work for organisers already using Eventflow to manage content and tasks. The assistant starts helping exhibitors immediately once the event is set up.
Availability
Eventflow AI is available now as an integrated feature within the Eventflow platform. Event organisers can request a demo through the Eventflow website.
