Motive expands AI platform to automate driver qualification, compliance, and workforce records management

Motive announced new AI capabilities in its Workforce Management product to centralize compliance documentation, timecards, training, and driver record pulls. The goal: cut administrative busywork, tighten compliance, and keep frontline teams productive without delays.

Many organizations still track driver files with spreadsheets, paper, and disconnected tools-leading to missed renewals, incomplete records, and avoidable downtime. FMCSA reviews frequently flag driver qualification and recordkeeping gaps, putting companies at risk of costly violations. For context on requirements, see FMCSA Part 391: Driver Qualifications.

"Workforce management in physical operations has been manual and fragmented for far too long-but AI is changing all of that," said Hemant Banavar, Chief Product Officer at Motive. "With these new capabilities, Motive is bringing qualifications, compliance, coaching, and workforce data into its integrated AI-powered platform to automate busywork so that organizations can work at a higher level of speed, visibility, and efficiency."

What's new

  • Integrated Motor Vehicle Records (MVRs): Initiate and manage MVR pulls directly in the Motive Dashboard. Records are organized automatically with expiration alerts and review workflows so teams can spot issues earlier and cut third-party overhead.
  • Driver Walkthrough for Qualification Documents: Enforce document requirements by preventing vehicle access or duty status if key items are missing or expired. Drivers get a guided in-app upload to close gaps fast; managers stay audit-ready with less manual tracking.
  • AI-Powered Document Capture: Automates capture and validation for licenses, medical cards, and MVRs. AI extracts key fields, reduces manual entry, and lowers error rates so approvals move faster and records stay clean.
  • Workforce Management Hub: Connects driver profiles, compliance, coaching, and workforce data in one place. Leaders get AI-driven insights, real-time reporting, and clear visibility into risks and payroll issues-without manual data pulls.

"We used to spend hours every week chasing down driver paperwork and tracking expirations," said Gilbert Solano, Equipment Maintenance and Support Operations Manager at Watco. "Now, with the Drivers Documents module in Motive, managers have accurate, real-time information. Those processes are automated and in one place-saving time and keeping teams safe and compliant."

Why this matters to operations leadership

  • Fewer delays and downtime: Auto-gated access and proactive alerts keep drivers working and vehicles moving.
  • Audit-ready by default: Clean, current driver files and a clear trail of reviews and approvals.
  • Lower risk and cost: Reduce violations, rework, and reliance on scattered third-party tools.
  • Single source of truth: People, vehicles, equipment, and spend in one platform for faster decisions.
  • Faster onboarding and requalification: Guided uploads and AI extraction shrink cycle times.

How it works day to day

Set your document requirements once (license, medical card, MVR cadence). When a deadline approaches, Motive triggers an MVR pull and prompts the driver to upload right in the app. AI extracts the fields, flags issues, and routes for review. Approvals are logged automatically, and managers get alerts only when attention is needed.

Platform advantage

  • Policies and expiration rules that adapt by role, location, and equipment.
  • Coaching and training integrated with driver profiles, so feedback becomes action.
  • Real-time reporting without spreadsheets-see risks, exceptions, and progress instantly.
  • Workforce management that lives alongside safety, operations, and finance in one system.

Bottom line: Centralize the work, automate the routine, and keep drivers qualified without slowing operations.

Next steps

  • Audit current driver files and identify your most common expiration misses.
  • Define your document policy by role and region; set your MVR pull cadence.
  • Roll out the Driver Walkthrough to stop gaps before they hit the road.
